Instrument Hire and Transportation
Instrumental groups may need to transport instruments, equipment, and uniforms. Transportation on overseas flights is more complex than domestic air arrangements; an experienced international concert organizer is indispensable.
Over the last 30 years, Casterbridge Concert Tours has developed very strong relationships will all the major airlines and cargo handlers. We have a full-time flights and equipment department that works on coordinating all instrument, uniform, and equipment requirements.
To begin the process, we must consider several things:
- What equipment/instruments do you need?
- What are the dimensions and weight of each piece?
- Would renting equipment on tour be more economical?
To get the lowest and most accurate cost estimate, sometimes we need to wait for other details to be finalized:
- Trip dates and destinations
- Specific concert venues
- Coaching arrangements
It may seem daunting, but we will guide you during each step to guarantee smooth coordination.
Airlines frequently revise their baggage allowances and fee structures. Specific guidelines will be given when your flights have been reserved.
What happens with excess baggage?
If your gear doesn’t comply with airline restrictions, there are three options:
- Pay an excess baggage fee – check your instrument when you check-in at the airport. Fees can be costly.
- Send it as cargo – Go to the airport two days early to ship via cargo. This is more economical, but requires more preplanning by participants and group leaders.
- Rent equipment abroad – Depending on your repertoire and needs, it may be more economical to hire instruments while on tour. We have contacts worldwide to assist with this whenever it is needed.
